Define Document Management Service project

This project will define the Document Management Service for use across the University of Edinburgh (outwith Core Systems).

Background

Key stakeholders across the University will be consulted to ascertain the business requirements for document management, identify the current storage of documents to understand migration requirements and to understand the needs of users managing documentation in relation to collaborative and non-collaborative work.

The project will:

  • Meet with key stakeholders across the University to identify and capture the common and unique business requirements for document management
  • Identify current storage of documents across the University to understand migration requirements
  • Understand the needs of users managing documentation in relation to collaborative and non-collaborative work
  • Research and meet with other Universities to leverage best practice for Document Management System
  • Define and agree the scope of the Document Management service with key stakeholders
  • Input into governance work being carried out for the business-as-usual SharePoint service
  • Identify compliance and security requirements
  • Identify re-usable process-driven workflows around document collaboration
  • Identify requirement for third party products that are essential, e.g.  scanning function
  • Identify procurement requirements for third party tools
  • Identify opportunities to leverage O365
